Travel (approximately 10%) domestic and/or international
Manage the central filing staff to ensure that document management is performed as per established process, timeframes and quality standards and that targets are met to the Operations team and sponsors satisfaction.
Line management and leadership of team including, setting appropriate goals and objectives; offering assistance and mentoring to team members to create a supportive working environment; developing effective working relationships with the team engendering an atmosphere of motivation, creativity and innovation whilst providing opportunities for learning and development within the team.
Work with Central filing group and operations to determine the best method of resolving indexing and filing errors or inconsistencies and provide regular performance feedback to team.
Manage the performance of the group vis--vis established timeliness, budget, quality standards and/or contractual requirements during the pilot phase and post pilot phase.
Capture user feedback on central file activities. Participate in the modification of systems, process and training as required by pilot results.
Work with Facilities Management to ensure central file group requirements are met.
Monitor employee absences and continue to ensure absenteeism is kept within acceptable limits.
Represent the central filing group within business. Attend and contribute to management meetings as required.
Keep senior management informed of any human resource related issues within the organisation which require attention.
Liaise with senior management, operations project teams, other departments and clients
Supervision:
Responsible for identifying and addressing the resourcing needs for the group and participating in the selection and recruitment of suitable and qualified staff, as required.
Ensure that all ICON general trainings are completed by group to perform their job. Maintain documentation of training as appropriate.
Monitor and manage costs.
Develop supporting staff skills and manage expectations.
Conduct performance appraisals and assign responsibilities as appropriate for team.
Lead by example and set high standards that others will follow.

Previous relevant experience of 7-10 years in document control and knowledge of filing procedures and eTMF application.
Excellent verbal and written communication skills and interpersonal skills.
Fluency in English.
Highly numerate with strong commercial awareness.
Well-developed influencing skills with the ability to interact with all levels in the organization.
Ability to work independently, to make decisions and to progress projects.
Competent computer skills including ability to take on board new systems
Current full driving license essential.
Ability and willingness to travel at least 10% of the time (International and Domestic: fly and drive)
Bachelors degree or local equivalent preferred.
