To learn more about ICON, please go to www.iconplc.com Job Title : Medical Administrative Assistant II Location : Chennai Purpose of the job: Maintain efficient and accurate daily work flow of documents and information within Medical Affairs and Drug Safety Maintain tracking logs and document metric measurements Provide administrative support to divisional staff as required Job Function/Responsibilities: Provide administrative support for Medical Affairs and Drug Safety Distribute Serious Adverse Event Reports to Sponsors, sites, and applicable ICON personnel following Standard Operating Procedures Distribute Exception Approvals, hospital record, and miscellaneous documentation to appropriate Sponsor contacts following Standard Operating Procedures File all Medical Affairs and drug safety documents within allotted timeframes Maintain data entry for Serious Adverse Event and miscellaneous tracking logs for ongoing studies Assist with organization and planning of meetings, including preparation and distribution of presentations, agendas, and meeting minutes, as requested. Distribute all subject specific material to the appropriate ICON staff Daily entry into, and upkeep of, appropriate tracking systems (e.g. SAE tracking systems) Handle mailing activities for Medical Affairs and Drug Safety (iShip, FedEx, Mail room, etc) Answer SAE Hot Line, and other divisional phone lines as necessary document contacts and submit to appropriate personnel Maintain office supplies and equipment as needed by the division Create, keep-up and audit work tracking systems Train and mentor new MAA staff serve as back-up to other administrative staff as needed Make sure that accuracy and audit readiness of Medical Affairs and Drug Safety files, and file room as assigned Perform standard checks of the after hours pager/cell phone and the SAE and PEP hotlines, as assigned Other administrative tasks as identified and requested by management Required Experience, Skills, Knowledge To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. (US) High school diploma or equivalent Demonstrated proficiency as a MAA I or equivalent experience Outstanding verbal and written communication skills Fluent in English (written and verbal) Strong computer skills (MS Office applications, and others as necessary) Familiarity with standard office equipment Attention to detail Outstanding organizational skills Knowledge of medical terminology required Ability to work independently and/or as part of a team.
